How to make a VAT invoice

  1. Enter your business name, address and VAT registration number in the “from” box.
  2. Add your customer’s name and address under “Bill To”.
  3. Use a unique invoice number that follows on from your last one.
  4. Set the invoice date. If the time of supply (tax point) is different, add it in Notes.
  5. List each item with a description, quantity and price excluding VAT.
  6. Set the VAT rate. The template starts at the 20% standard rate; change it for reduced-rate or zero-rated items.
  7. Download the PDF. It shows the net amount, VAT and the total payable.

What a full VAT invoice must show

Invoices with mixed VAT rates

The generator applies one VAT rate to the whole invoice. If you sell items at different rates (e.g. 20% and 5%), create separate invoices per rate, or show the rate in each line description and the VAT breakdown in Notes. Check HMRC guidance for your situation.

Frequently asked questions

Do I need to issue VAT invoices?

If you’re VAT-registered and selling to other VAT-registered businesses, you generally must issue a VAT invoice. If you’re not registered, you must not charge VAT. Remove the tax line instead.

Can I use this for EU VAT?

Yes. Switch the currency to EUR and set your country’s VAT rate. Requirements differ slightly between countries, so check your local rules.

Is it really free?

Yes. You can create and download as many documents as you like without paying and without creating an account.

Where is my data stored?

Everything you type stays in your own browser. Drafts and your history are saved locally on this device, so nothing is uploaded to our servers.
